The band is already playing. Champagne is chilled. The lighting feels warm and inviting. Guests are greeted with smiles and guided seamlessly from one moment to the next.

And in many ways, that is exactly how it should feel.

What most people don’t see are the hundreds of decisions, conversations, schedules, deliveries, confirmations, adjustments, and contingency plans that quietly happened long before the first guest arrived.

They don’t see the early morning venue walk-throughs, the supplier coordination, the transportation schedules, the timeline revisions, the weather monitoring, or the countless details being checked and rechecked behind the scenes.

One of the things I love most about destination weddings is that they bring people together in a way few other celebrations can.

Because of that, I believe the guest experience begins long before anyone arrives at the wedding.

In many ways, it begins the moment a guest receives their Save the Date.

This is why one of my biggest recommendations is always for couples and key guests to arrive a day or two before celebrations begin whenever possible.

Over the years, I have seen countless examples of situations that could have created stress had they not been managed quickly and calmly behind the scenes.

I have worked with guests whose luggage never arrived until after the wedding weekend had ended. While the airline worked to locate their belongings, my focus shifted to ensuring they were comfortable and informed.

That meant providing regular updates, identifying local shops where suitable outfits could be purchased, coordinating with venues to provide additional amenities, and helping them feel cared for despite the disruption.

Sometimes the solutions are so seamless that guests never realise a problem existed at all.

I remember one wedding where a musician failed to review an updated timeline and arrived later than expected for the ceremony.

On paper, it could have been a stressful situation.
